Team Management
Get the right people into the right projects without the back-and-forth
By the Numbers
How It Works
Perfect For
Agency with rotating freelancers
Bring freelance photographers and editors into specific projects without exposing your full library. Remove access when the gig wraps.
Multi-show production company
Run separate projects for each show with dedicated teams. Coordinators see everything, unit photographers see only their assigned show.
PR agency managing multiple clients
Organize teams by client account. Junior staff get view-only access, senior publicists get full distribution rights.

Team management
Picture this: a production coordinator spending her first hour every Monday updating a spreadsheet of who has access to what. Forty-three freelancers across six active shows. Every new hire means twenty minutes of folder sharing, permission tweaks, and Slack messages asking "can you see this yet?"
That's the problem ReelStorage's team management solves.
Your team, organized by how you actually work
Most photo management tools treat teams as an afterthought. You get a shared folder and maybe a "collaborator" toggle. That falls apart the moment you're running more than one project with more than a handful of people.
ReelStorage gives you a proper team structure. Organization-level roles define what someone can do across your account. Project-level permissions control exactly which assets they can see, edit, upload, or delete. The two layers work together so you can be precise without being tedious.
Organization roles
Every team member gets one of four organization roles:
Owner has full control over billing, settings, and member management. There's always at least one owner.
Admin can manage members, create projects, and adjust most settings. They can't delete the organization or manage billing.
Member is the default role for most team members. They can access assigned projects and perform actions based on their project-level permissions.
Viewer gets read-only access across the organization. Good for executives, clients, or stakeholders who need to see progress without touching anything.
Project-level permissions
Organization roles are the foundation, but real work happens at the project level. When you add someone to a project, you set granular permissions that control:
- Viewing: Which assets and collections they can see
- Uploading: Whether they can add new assets
- Editing: Metadata changes, tagging, organizing
- Deleting: Asset removal (usually restricted to admins)
- Distribution: Creating and managing approval codes, exports
Permission templates make this fast. Instead of toggling 65+ individual permissions for every new member, pick a template that matches their role and adjust from there.
Inviting team members
Adding someone to your organization takes about a minute:
- Open Organization settings and click "Invite Member"
- Enter their email address and choose an organization role
- They receive an invitation email with a direct link
- Once they accept, assign them to projects with the right permission set
For larger teams, bulk invitations let you add multiple people at once. Each person gets their own invitation email with a pre-assigned role.
Accepting an invitation
When someone receives an invitation, they can create a new account or sign in with an existing one. The onboarding flow walks them through the basics and drops them into the organization with their access already configured.
No more "can you re-share that folder" messages.
Multi-organization support
Agencies and freelancers who work across multiple clients can switch between organizations without signing out. Each organization is fully isolated: separate projects, separate members, separate billing.
This means a freelance photographer can have their own organization for personal projects while also being a member of three different agency accounts. Switching takes one click.
Managing access over time
Teams change. People join, leave, switch roles, move between projects. ReelStorage makes all of this straightforward:
- Reassign roles when someone gets promoted or changes responsibilities
- Update project access as team members move between productions
- Remove members with one action that revokes all access instantly
- Track changes through the activity log, which records every permission change
When someone leaves
Removing a team member revokes their access across the entire organization. Every project, every collection, every shared link. The assets they uploaded stay in place (they belong to the project, not the person). The removal is logged so you have a clear audit trail.
Why this matters for productions
On a film or TV production, access control isn't just about organization. It's about security. Unit still photographers need access to their own show's assets but shouldn't browse another production's unreleased stills. Agency interns can view approved selects but shouldn't be downloading full-resolution files. The wrong photo in the wrong hands can mean a leaked plot point or a violated NDA.
Proper team management means you set it up once, adjust as needed, and never worry about who can see what.
Built for agencies and studios
If you're managing a team of more than three people working on photos, you've probably outgrown shared Dropbox folders and Google Drive permissions. ReelStorage's team management gives you the structure to scale without the administrative overhead.
Invite your team, set the right access levels, and get back to the work that actually matters.
